Who can qualify for mileage reimbursement?

An employee or director using a personal vehicle for a business assignment can receive reimbursement supported by a trip log and calculation. The company must not already be paying the same costs. A sole trader deals with vehicle costs under their own tax deduction rules, rather than as an employee claim.

How should use of a rented vehicle be reimbursed?

First identify who pays the rental. If the company pays the rental firm, the driver must not claim the rental again. If the driver advances the cost, retain the agreement, invoice and business allocation. A mileage calculation must not duplicate costs already reimbursed.

How can business use of a spouse’s vehicle be substantiated?

Keep vehicle documents, assignment logs and evidence of costs borne by the claimant. Identify the owner. Do not reimburse two people for the same fuel or journey, even if they belong to the same household.

Which costs should be recorded for a borrowed vehicle?

Record business costs you actually paid and identify the vehicle as borrowed. Keep fuel or cost-contribution evidence and trip logs. Free use of a vehicle does not create a rental expense to reimburse.

Is a registration certificate needed to substantiate mileage?

Keep the registration certificate or local vehicle identification document, with rental or use authorisation where needed. These establish the vehicle used; trip logs are still needed to substantiate business distance.
